IAM is pleased to announce the appointment of North American Logistics Services, Inc. (NALSI) as the official customs broker & logistics supplier for the 51st IAM Annual IAM Meeting in Vancouver.  NALSI has been offering their specialized customs & logistics services to the meeting and convention industry in Canada for over 15 years.  In partnership with IAM, NALSI has acquired special importation privileges from the Canada Border Services Agency (CBSA)- International Events & Convention Services Program (IECSP) for all exhibit materials and supplies entering Canada for the meeting.

IAM has been granted Border-to-Show privileges within the Canada Border Services Agency (CBSA).  Please CLICK HERE to download a copy of our letter.  It is recommended that you provide a copy of this letter upon your entry to Canada.

EXHIBITING IN CANADA

In partnership with IAM, NALSI has acquired special importation privileges that have been granted by the CBSA IECSP, and will do the following:

  • Custom clear your materials on the exhibit floor using the “Border-to-Show” privilege, thus removing the potential for any customs or transit delays.
  • Utilize the unique “Border-to-Show” customs clearance privilege which allows exhibit materials to flow through the border directly to NALSI’s advance warehouse, or direct to show site
  • Post the required bonds and securities with the CBSA allowing for the duty free and tax free entry of your exhibit materials.
  • Prepare export documentation, and arrange U.S. or International customs clearance for return ground/air freight shipments after the show.

Q.  I’m an American citizen. Do I need a passport to go to Canada?

Q.  I’m a legal resident of the United States, but I’m a citizen of another country. Do I need a visa to enter Canada?

Q.  I’ve never exhibited outside the United States. Isn’t dealing with customs for trade shows complicated?
 
No.  The International Association of Movers has chosen North American Logistics Services, Inc. (NALSI) as the official customs broker for the meeting.  Their office will assist you with every step, taking care of all customs issues and many other details ensuring an effortless customs clearance process.

Q:  What Canadian taxes, Federal and/or Provincial can I can expect?
 
While you are in Vancouver most companies will charge you a 5% GST (Goods & Services Tax) and add it onto your final invoice/receipt.  The monies collected are remitted to the Canadian Federal Government along with the appropriate forms.  As a non-Canadian resident, most of the GST collected can be refunded back to you as a visitor from another country as long as you keep the original receipts.  Please visit  http://www.cra-arc.gc.ca/tx/bsnss/tpcs/gst-tps/rbts/vstrs/frgncnvntn/xhbtrs-eng.html  to download the forms and the brochure explaining the program.
 
 Q.  How long before the show move-in should I arrange for freight to arrive in the show city?
 
Because of increased lead times due to heightened security measures by the Canada Border Services Agency (Canada Customs), plan on having cargo arrive in the final city of destination a minimum of 3-5 business days prior to move-in.  An extended lead time will allow for the increased number of inspections and can prevent delays that are irreversible.  It is important to note, when planning, freight will not be customs cleared on Saturdays, Sundays or holidays.
 
Q.  How do I make sure my shipment will clear customs?
 
When shipping materials from outside Canada, we recommend that you call NALSI, the official Customs Broker for the meeting.  The complexities of import rules & regulations for trade shows in Canada make it highly advantageous to use NALSI’s services.  NALSI will act as an agent to file the inbound and/or outbound customs paperwork associated with the importation of merchandise, arrange for the duty free & tax free temporary or permanent importation, and will affect the release of goods from customs.  In addition, NALSI will create export documents for return customs clearance.  In some instances, they have coverage at all foreign point of entries and NALSI can make arrangement for the entire customs clearance process (roundtrip).
 
Q.  After clearing customs, how does my freight get to the show?
 
You can arrange with NALSI, or your Freight Forwarder, and Transportation Company for the shipment to be delivered to the NALSI Customs Bonded Advance Warehouse or direct to show site.
 
Q.  Can my goods be delivered directly to show site or to NALSI’s Advance Customs Bonded Warehouse without customs clearance?
 
Yes, as the event has been granted the “Border-to-Show” customs privilege, but, as the goods move “in-bond” arrangements must be made with NALSI or your selected carrier before the pick-up is made and prior to shipping to Canada.  The IAM meeting is “recognized as a bona-fide event” by Canada Border Services Agency (Canada Customs) with special privileges accorded to the event.  NALSI is the “official Customs Broker” assigned to transact and act as an agent for show manager/event planner and exhibitors/importers.  Contact NALSI to have all of your questions answered.
 
Q.  What if my goods are delayed due to customs’ random inspections at the border or at “foreign point of entries” and will not be delivered by the show move-in date?
 
It is highly recommended that you bring a provisional shipment (partial) with you in your luggage to ensure that you have something to exhibit at the show.  Due to the complexities of import/export regulations and the inexact nature of “random inspections” we highly suggest calling NALSI for assistance as the likelihood of an inspection will be reduced if using NALSI.
